What you'll learn
- Set up document IDs
- Add owners and review dates
- Issue versions with “What's changed”
- Spot guides that need attention
Steps
Set your ID pattern
In Settings → Document IDs, set a prefix and pattern (for example ACME-SOP-0042). Switch on Give new guides an ID automatically, or use Assign next ID in the editor.
Add an owner and review date
In the editor's Document ID, version, owner and review panel, fill in Owner, pick a Document type and choose Review every – say, 6 months.
Issue versions
Under Versions and what's changed, note what changed and why, then press Issue new version…. Tick Include “What's changed” in downloads, and use Copy release note for a quick summary.
Keep on top of reviews
The FlowHop icon shows a number when guides are due. In the Library, tick Only guides due for review, check each one, then press Mark as reviewed.
Check for broken steps
Press ✓ Check steps in the editor to find steps that may no longer match the website.
Clean screenshots for test systems
Recording on a test environment? Click the FlowHop icon, choose 🧹 Hide something in screenshots and click the “UAT” banner. Text swaps live in Settings → Clean screenshots.
IDs are numbered on each computer. If several people create guides, give each person their own prefix or number range so IDs never clash.
- The broken-step checker catches the common cases, but it can't guarantee to find every change on a website.
- Clean screenshots only change the picture FlowHop takes – never the system itself.
Try this free 3 times. Every install gets 3 free tries of paid features, Business included – each update, version, reel or other paid action uses one. If keeping guides current is part of your job, Business is A$199 a year or A$24 a month.
